Freight forwarding software for road transport – what to look for
Updated 4 November 2026
Many forwarding companies still run their work in Excel, e-mail and the accounting program. Every load is typed in several times: into the order, the carrier order, the invoice and the debtor list. Freight forwarding software (also called a transport management system, TMS) keeps every load in one place – from the client's order to the paid invoice. This guide explains what such a program should do for a road transport forwarder in the Baltics and Poland, and what to ask before you choose one.
What freight forwarding software should do
- Orders (jobs): the client, loading and unloading places, cargo and price are entered once and used everywhere else.
- Carrier orders: the carrier order is created from the job with one click and sent to the carrier as a PDF by e-mail. Several jobs can be put on one truck for groupage.
- CMR and proof of delivery: the driver confirms loading and delivery and photographs the CMR, so the forwarder sees the status without phone calls.
- Sales invoices: the invoice is created from the job, the fuel surcharge (BAF) is added automatically and the PDF goes out in the client's language with the CMR attached.
- Carrier invoice control: the carrier's invoice is compared with the agreed price, and duplicates are caught before payment.
- Debtors and reminders: you see who is late with payment and by how much, and reminders go out automatically.
- Bank statement import: incoming payments are matched to invoices by reference number, invoice number and amount.
- Profit: profit by month for every forwarder, client and carrier, with export to Excel.
Requirements in the Baltics and Poland
A program built for Western Europe often misses the local details that take time every day:
- Languages: documents and e-mails should go out in the partner's language – Estonian, Latvian, Lithuanian, Polish, Russian or English.
- Estonia: company details from the Business Register, a tax debt warning from Estonian Tax and Customs Board data and a connection to the accounting program (for example Merit Aktiva).
- Latvia and Lithuania: company search in the business register and a tax debt warning from the State Revenue Service (VID) or the State Tax Inspectorate (VMI).
- Poland: sales and purchase invoices via KSeF and accounting in zloty at the NBP rate.
- All EU countries: the client's VAT number checked in VIES when the invoice is confirmed.
Where AI saves the most time
Most of a forwarder's day goes to copying information from e-mails and documents. Artificial intelligence can now do this part:
- Client orders: AI reads the order e-mail and fills in the job – client, places, cargo and price.
- Carrier invoices: AI reads the invoice, finds the supplier and the carrier order and compares the amount with the agreed price.
- CMRs: AI checks the consignee's signature, stamp and date on the CMR photo and flags remarks such as damaged cargo.
- Insurance certificates: AI reads the validity, insurer and amount and warns if the certificate has expired or is in another company's name.
The forwarder still checks and confirms – AI only removes the typing.
Questions to ask before you choose
- Does the driver need to install an app, or does a link on the phone work?
- Do documents go out in the client's and the carrier's language?
- Is everything included in the price, or are the driver link, reminders and AI paid extras?
- How long does it take to get started, and who sets up the company?
- Is there a free trial without a card, and can you download your data to Excel?
